4A - Floor Plans Follow
Always click Save at the bottom of the page in Setup - changes are not saved until the Save button is clicked.
The floor plan module allows you to make most of the adjustments to the floor plan and its functionality. Additional changes to the floor plan will be found in Main Menu > Floor Plan.

Email your CRM with the date you want the floor plan live with a current DWG from your decorator.
1. Floor Plan
- Floor Plan on or off: If turned off, the floor plan tab will be hidden. You will need to turn the floor plan ON if you want to make it visible. If you want to make the floor plan only visible to admin users and hidden from all others, you can achieve this by turning the floor plan On, then go to Main Menu > Floor Plan > Edit Areas. Check the Hidden box, click Save.
2. Floor Plan Only Mode
- When the Floor Plan Only Mode is ON, GoExpo displays a minimal set of floor plan related areas. This mode is perfect for an event that wishes to display its floor plan, but not provide extra services like account logins. Some events choose to launch with the Floor Plan Only Mode on, and disable it at a later date after the event is ready to use the other areas of GoExpo.
- Note that in Floor Plan only mode, exhibitors and attendees can NOT log into the system.
- This option can be helpful for events that wish to display a floor plan, but not highlight the location of specific exhibitors. The booth numbers will be available on the floor plan but will be turned off in the exhibitor list.
- Enter what you would like the floor plan to be called - Floor, Building, Show, etc.
5. External Floor Plan URL
- If you are using another source for the floor plan (pdf or another site) enter the url of the site or pdf.
6. Dummy Booth Number Pattern
- Typically used when importing booths from another source. Designed to allow shows to build dummy booths on the floor plan to temporarily house exhibitor assignments but keep them hidden from non-admin users.
- Recommended setting is Off.
7. Search Booths
- When on, the public and exhibitors can search Booths by specific details like dimensions and area.
- Search booths feature will always be on for Host accounts and is a helpful tool in finding booths by type, size, number etc.
- When on, the Booth types will be hidden (Island, peninsula etc.).
- When on, the the number of private corners for a Booth will be hidden.
- When on, available Booths can be highlighted by the public and exhibitors by clicking the available booth link.
- When on, available Booths are always denoted by color (see Booth Background below).
- HTML that is displayed when mousing over an available Booth. For example:
"This booth is available. Please click on this booth for more information." (Clicking on the booth will open the Available Booth Popup HTML.)
12. Available Booth Popup HTML
- Enter any HTML information here. For example: sales contact, links to contract, etc.
13. Booth Name (Singular)
- What to call a single booth. (Booth, Stand, Table, etc.)
- What to call multiple booths. (Booths, Stands, Tables, etc.)
- The color you want the border of the booths. Black is the best use to show separation of booths.
16. Booth Text Color
- The color you want the booth number text to be displayed. Black or white, depending on the background color are the best colors to use.
17. Available/Planner Booth Color
- If the Search Booths or Available Booth highlighting is turned on, this will be the color of the booth(s) when the link is clicked.
18. Search Booth Color
- When a user uses the Search tools to find an individual booth, group of booths, or exhibitor, this will be the color of those searched booths.
19. Assigned Booth Color
- This is the color of the booths when the search booth function is used and the Assigned link is clicked. The booth color for the public view is discussed below in Reserved Booth Background (ID1).
20. Reserved Booth Color
- This is the color of the booths when the search booth function is used and the Reserved link is clicked.
- This is the color of the assigned and reserved booths on the public view of the floor plan that is displayed by default. These colors are adjusted by uploading a .png file that is 300 pixels by 300 pixels.
22. Booth Background (ID 2 - 7)
- The system allows you to choose up to 5 custom colors that you can use to manually or automatically have as background colors for specific types of booths. For example you may want all the sponsor booths to be a certain color, and all the NEW (non exhibiting space) booths be another color. This can be set by using the New Booth Shading Tool discussed below or by manually changing the properties.

23. Available Booth Background (ID 8)
- This is the color of the booths when the Available Booth Highlighting is turned on. This highlights the available booths at all times on the public view floor plan.
24. Floor Plan Units
- Imperial or Metric. Booths will be displayed in feet and inches, or meters.
25. Booth Background Alpha
- The booth background can be set to allow items behind the booth on the background image. For example: Instead of building columns individually we include them on the booth background image. If a column is in a booth and the background alpha is set to 100 you will not see the column. By changing the background alpha to 50 you will be able to see the column in the booth.
26. Forced Booth Mouse Over HTML
- Typically used to when a show does not yet want to reveal the exhibitor locations. By entering this HTML all booths in the public view will display the text when the user mouses over the booth.
Example: "Exhibitor locations will be revealed on (date)." Or, "This booth is currently assigned. Check back on (date) for exhibitor information."
27. Hide Exhibitors
- When on, all exhibitor info will be hidden from the floor plan. Available Booths will still be denoted when applicable.
- When on, the exhibitor's website URL will not be displayed on the exhibitor's popup.
- If on, the pavilions for the booths the exhibitor is assigned to will be displayed under their profile.
- New Booth Confirmation emails are triggered when the Exhibitor is first assigned to a Booth. Note: Checking this box will NOT automatically approve any existing confirmations that already have a "Not Approved" status.

If you leave the auto approve in the OFF position, you will need to trigger confirmations manually if you are using them.
31. Auto Approve Updated Booth Confirmations
- Updated Booth Confirmation emails are triggered when there is a change to an Exhibitor's Booth sizes, locations or assignments. Note: Checking this box will NOT automatically approve any existing confirmations that already have a "Not Approved" status.
See your CRM for more details or click here for a detailed PDF. - If you leave the in the OFF position, you will need to trigger updated confirmations manually if you are using them.
- If specified, an email will be sent to this address each time an updated Booth Confirmation is generated. Booth Confirmations are created when an exhibitor's Booth information changes, and can be used to schedule automatic or manual Booth Confirmation emails.
33. Require Payment Date for Auto Approval of Booth Confirmations
- Check if an exhibitor must have a Payment Date specified before their Booth confirmations are auto approved. If unchecked, any exhibitor with a booth assignment will receive an email whether they have paid or not (assuming you have a confirmation email set up).
- Can be set to hold a reservation for up to 90 days. The person that reserved the booth will receive notification 48 hours before the reservation is removed. They will also have the option to adjust the reservation.
35. Display Floor Plan Areas
- If ON, and there is more than one Floor Plan Area, GoExpo will display the Floor Plan Area abbreviation in parenthesis next to all Booth numbers. Example - if ON, and you have a main floor and pavilion, it will display the booth number as such:

36. Render Company Names
- When ON, company names will be rendered on the web floor plan. The recommendation here is to leave this off as all the exhibitor names will be displayed in the booth with the booth number, and makes the floor plan visually unattractive. The user can see who is in the booth when they mouse over it or click the booth to generate the exhibitor profile popup, or download the PDF which will include the company names in the booth.
- If not blank, this will be the HTML that is displayed in place of the sponsorship logos on the floor plan.
- Amount to scale the font of the PDF version of the floor plan (useful if booth numbers extend out of their booth outlines).
- A rule that defines the shading of a Booth based on the data in a specific exhibitor field.
